Certificates of Insurance



All vendors and clinicians are required to have liability insurance.  If you have your own insurance, you need to provide a certificate of insurance to the show office by Sept. 1st.  If you do not have liability insurance, you may apply for liability insurance from Specialty Insurers. Prices vary based on type of insurance (vendor or clinician) and space reserved.

Retail Sales Tax Licenses info
 

The reporting of tax information and obtaining all necessary permits or licenses is the responsibility of each vendor. All vendors are required to pre-register with Caroline County prior to the event and obtain a vendor permit.  The cost of the permit is $30.00 (for sales less than $20,000.00).  The permit is good for one year.  Information is available through Sharon Carter, Commissioner of the Revenue; 804-633-4496 or scarter@co.caroline.va.usFor additional information on the state of Virginia tax requirements contact the Virginia Department of Taxation at 804-779-3078

Exhibit Hall Booth Space

  • First Booth 10x10: $695.00 each

  • Additional Booths 2 to 4 booths (10X10)$675.00 each

  • Additional Booths 5-8 booths (10X10): $625.00 each
  • Non-Profit Club, School, or Breed Association:  $595.00 each
  • Corner Space:   $75.00 each
  • Premium Space: $75.00 each

Breed and Stallion Booth, Breed and Stallion Barns:
(Booths are in stalls space)

  • Breed Stall and Booth:  $450.00 each
  • Additional Breed Stall$250.00 each
  • Stallion Stall and Booth: $550.00 each
  • Additional Stallion Stall:   $350.00each
  • Corner Stall:  $75.00 each

Bulk Space, Inside and Outside:

  • Inside: $2.75/sq. ft.
  • Outside: 500-2000 sq. ft.: $2.00/sq. ft.
  • Outside: 2000+ sq. ft.: $1.80/sq. ft

The Best Western Kings Quarters is our host hotel, offering great rates for our vendors and attendees.  It' is less than 2 miles from the Meadow Event Park and a bargain with Free WiFi, an onsite Denny's (open 24 hrs) and an onsite lounge that opens at 5PM each day.  Book early, as rooms will sell out quickly.
